Communication! What a difference one word can make!
I find it somewhat amusing that the structure of a sentence; maybe a missing comma… or an added, forgotten, or changed word can make such a difference to the meaning of that sentence. It has the weight of possibly making or breaking communication lines between two or more people.
When things are misinterpreted, then it leads to further frustrations as the misinterpretation takes on a life of its own. It might have the weight of upsetting the person in receipt of the communications… or maybe it will end up snowballing as they follow what they perceive as your recommendation or instruction. Arghh!! I’m sitting here with tense shoulders and knots in my stomach just at the thought of it!!
So my question is, if you were to send that email… you know, that one that you are wondering whether you should send – what are the chances of the person at the other end of that email misinterpreting the message you are trying to get across? Do you, as part of your business tend to consider the impact of an email before hitting the send button?
Sometimes the chances of misinterpretation are very high. When this is the case, it is usually better to either have a face to face meeting with a person, or to pick up the phone to have a chat, hopefully minimizing the chances of your email correspondence being misinterpreted.
Talking to this person over the phone means that you can check with them to make sure that they understand what you have just explained to them, plus you can hear the emotions in their voice as they are taking it all in. Discussing something face to face has the further added bonus of being able to see that they have a solid understanding of what you have just explained.
I’m not saying you should necessarily pick up the phone or meet face to face with another person about everything, after all email is a really handy and awesome tool which I know I could not do without in my business!
What I am saying is that for the tough issues maybe consider which method of delivery might best suit for that particular and maybe very unique situation.
Email? Phone? Face to Face?
